Privacy Policy

Who we are

As part of our day-day business we deal with information which pertains to individuals.  Planned Resources shall comply with the provisions of The Privacy Act 1988 and is committed to carrying out our obligations of confidentiality.  We work to the Australian Privacy Principles by:

APP 1 — Open and transparent management of personal information

A copy of this privacy policy can be found on our website or is available upon request.

Links to this document can be found on www.plannedresources.com,au and on consultants email footers and job advertisements.

APP 2 — Anonymity and pseudonymity

We have deemed that storing information on our database anonymously isn’t practical and would lead to the miss-handling of data.

We will inform candidates of roles that Planned Resources are submitting them to prior to conversations with clients (unless agreement has been sought from the candidates that a consultant can use their discretion).

When discussing potential candidates with clients we can upon the candidates request do so anonymously.

 APP 3 — Collection of solicited personal information

 As part of a consultant’s day-day role we are required to come into contact with personal information:

Initially:  When we receive/update your resume and the initial conversations/interview notes we may take.

As part of our due diligence: For example (but not limited to), we may seek proof of identity, visa status, qualifications, undertake references (with your permission), or be asked by an employer to undertake medical, criminal or competency checks.

If we place you: We will undertake feedback on your placement.  If you work directly for Planned Resources on a temporary assignment we will require further sensitive information (such as your bank details) in order to pay you.  We may if required also hold information pertaining to your assignment such as workplace accident information.

 Other information:

 Applicants deemed not relevant to Planned Resources will not be added to our database.

Pre-Registration:  Applicants whose experience could be relevant to Planned Resources either now or in the near future, but whom we haven’t interviewed.  Will be (informed of our intention to) and added to the database under a pre-registration category.  Personal information such as contact details and their CV’s may be added to the database for us to gauge their suitability for roles, but no sensitive information will be stored.

Registered:  Information will only be stored on our database and may include feedback from previous, current or potential employers on their suitability for roles but shall not contain anything deemed as sensitive information.

Temp Working:  When a person is engaged by Planned Resources at an employer/host client we need to obtain additional personal and potentially sensitive information** to fulfil our legal obligations as an employer and to process their pay.  These documents can include (but are not limited to):  proof of ID, licences, police checks, visa/proof of work rights as well as bank details, superannuation.  This information shall NOT be held on the database and is only held by the office administrator on the payroll system.

APP 4 — Dealing with unsolicited personal information

 Personal information that Planned Resources receive that we have not requested and is not relevant to our business will not be held and destroyed.

 Information that we receive which we feel could have been collected in the normal course of our business (APP3) will be handled under APP3 processes, this will include notifying the person of our privacy policy via a collection statement (P03).

APP 5 — Notification of the collection of personal information

 Links to this document are found on our website and on our email footers. 

 When we acquire personal information to the system we will notify candidates via the sending of this document (PO3).

 Where we require sensitive information (for example in order to pay wages, take references etc) we will ensure that we have a signed (PO3) attached to their information.

APP 6 — Use or disclosure of personal information

 Planned Resources treat individuals confidentially seriously and will only reveal information directly in our role as recruiters in our dealings with potential and actual employers and clients of Planned Resources; if dealing with a person with lawful entitlement (such as the police, workers compensation body) or where specifically directed to by the individual.

Planned Resources client base is predominantly Australian based.  Where we have international roles we will contact candidates to seek their approval in disclosing their information.

As a boutique company Planned Resources utilise the services of reputable 3rd party providers to manage our databases, these may be based overseas (America, Canada and NZ) on secured servers in protected facilities.

APP 7 — Direct marketing

 We contact candidates for the primary purpose that they originally engaged with us (to discuss potential employment opportunities with them). 

 On very rare occasions we may update them as to new consultants or new sectors we have started to recruit in as a way of helping them identify the most relevant point of contact to stay in touch with.

 We do not send out direct marketing material aside from the above.

 We do not pass on details to any 3rd party for marketing activities.

 Candidates can opt out from receiving any contact from Planned Resources

APP 8 — Cross-border disclosure of personal information

 Currently Planned Resources are only Melbourne based, although we do have roles with client’s interstate. We will contact you to discuss opportunities interstate prior to releasing any details.

APP 9 — Adoption, use or disclosure of government related identifiers

 Planned Resources will not actively source or store identifiers unless directly required for the job they are applying (for example working with children check, drivers licence etc) or legally required to be held by us (for example working visas, tax file numbers etc for temporary staff).

 We will treat all identifiers that we do hold as personal information and manage according to the principles outlined in this document.

 We will not adopt a government identifier as a means of identifying people.

APP 10 — Quality of personal information

 As most the information we obtain comes directly from the individual we deem it to be of high quality.  We commit to obtaining information directly from individuals where possible.  Where we take information from alternate sources (such as references) individuals can obtain access to what is recorded via our privacy officer.

APP 11 — Security of personal information

Personal Information:  Our database is password protected and only available to consultants and the director.

Sensitive Information: Only held on our payroll system and only accessible to the Office Manager and Director.

APP 12 — Access to personal information

Individuals have the right to see what information we hold on them and can do so via contacting the Office Manager – on admin@plannedresources.com.au

APP 13 — Correction of personal information

We encourage candidates to continually update their information with us as this will help consultants get a clearer understanding of your latest skillset.  Information can be corrected to make it “accurate’, ‘up-to-date’, ‘complete’, ‘relevant’ and ‘not misleading’ 

In most instances Planned Resources will readily comply with alterations/additions/deletions.  Planned Resources do however reserve the right to preserve information on our database relating to opinions (such as references and interview observations), where this occurs we will write to you to outline our reasoning and will give you the opportunity to have a personal statement aligned to the information outlining your permission.

** What is Personal Information?

Personal Information is any information or opinions (whether true or not) about you.  Typical personal information that we collect and hold about you will include things like contact details, your work experience and qualifications, information and opinions about your work performance (e.g. references) from previous employers, or any Planned Resources clients if you have been on temporary assignment for us.

** What is Sensitive Information?

Sensitive information is defined under law as a special category of personal information and includes things like race, political opinion, political or religious beliefs or opinions, memberships or associations, sexual preferences, criminal records, memberships to unions or trade associations, health or disability (at any time) and expressed wishes about future healthcare.

Sensitive information can, in most cases only be disclosed with your consent.

 

Information pertaining to this website

When visitors leave comments on the site we collect the datshown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
